Billing Assistant – Firm Wide

An exciting role has become available working for a national law firm on a 16-month fixed term contract basis. This role can be based anywhere in the UK as you can work remotely or you can visit a number of their offices around the country.

The role will evolve over the next 16 months as they add improved processes and workflows to assist with the various billing requirements.

The key responsibilities include, but are not limited to:

  • Preparing and dispatching of Work in Progress (WIP) reports to the teams in agreed timelines.
  • Liaising with teams as appropriate to co-ordinate instructions
  • Matter Billing arrangement code review and updates
  • Team WIP review meetings
  • Write off irrecoverable WIP and Disbursements
  • Developing a strong culture of financial awareness, commerciality and accountability across their fee earner community
  • Preparing and distribute pre-bills, prepare final bills and dispatch
  • Executing complex bills in a timely manner
  • Ensuring completion of high volume of bills per month
  • Producing credit notes
  • Responding to Billing queries
  • Ensuring compliance of all regulatory requirements during the Billing process, including VAT and the Solicitor’s Accounts Rules
  • Assisting with any existing and future e-billing
  • Coordinating, monitoring and processing retainer funds, approved markdowns, write-offs and necessary account adjustments
  • Coordinating ad hoc projects at the request of clients, partners, and firm management
  • Preparing various reports and analyses, as requested
  • Assisting partners and staff with time and billing
  • Assisting partners and staff in understanding billing processes, policies and procedures
  • Assisting with special projects and analysis as directed

Qualifications:

  • High School Diploma and/or college preferred

Skills, Abilities, Knowledge and Experience:

  • Good Excel knowledge
  • Ability to work in a fast-paced environment
  • Volume Processing experience
  • Ability to work independently and part of a team
  • High level of proficiency with technology including Microsoft Office Suite applications
  • Ability to evaluate problems and formulate successful solutions
